The Terms & Conditions Every Cleaning Business Needs (Plain English)

Terms aren't legal decoration — they're pre-answered arguments. Eight plain-English policies, acknowledged at signing, prevent almost every recurring dispute cleaning businesses face.

Write them like a human

Terms only work if clients read them, and clients only read plain English. "Please give 48 hours' notice to reschedule; same-day cancellations or lockouts may be charged the full rate" beats a paragraph of whereases. Firm and friendly can be the same sentence.

The eight policies that earn their keep

  • Estimates & extra time — how the price can change and that you'll ask before extending
  • Payment — when invoices are due and what happens when they're late
  • Deposit — amount, deadline, and that it's credited to the total
  • Reschedules, cancellations & lockouts — notice window and the fee
  • Access & alarms — how you get in and how you lock up
  • Pets — secured during service; what you don't clean up
  • Decluttering & occupancy — surfaces need to be reachable to be cleaned
  • Hiring boundaries — clients don't privately hire your cleaners

The one clause owners forget

The non-solicitation line — clients agreeing not to hire your cleaners directly — feels awkward until the first time a client tries to poach your best cleaner for cash weekends. Put it in writing on day one, when it's abstract and easy to accept.

Make acknowledgment part of signing

Terms buried in an email footer protect no one. Put them in the proposal itself, and make the signature include an explicit acknowledgment that they were read and accepted. When the policy and the signature live on the same page, "I didn't know" stops being an argument.

Review them twice a year. Every dispute you handle is a term you were missing — fold the lesson back in and the same argument never happens twice.
