Why use it

Less back-and-forth.
More clarity before the clean.

Make a professional first impression

Give every quote your business name, logo, and colors. Your client sees a consistent presentation from the welcome message through the agreement.

Make the scope clear before you arrive

Put included tasks, exclusions, pricing, and service details together. Clients can see what they are agreeing to and ask questions before the first clean.

Spend less time rewriting quotes

Start with reusable residential and commercial templates. Keep your standard wording and checklists, then adjust the details for each property.

Keep the agreement easy to find

Follow each proposal from draft to signed, then find its signed PDF in your archive. Refer back to the agreed scope without searching through message threads.

How to use it

Your first proposal,
step by step.

Set up your reusable content once, then personalize each proposal for the client and property.

  1. 01

Make it look and sound like your business

Create an account, choose Cleaning Services, and add your business details, logo, and colors in Settings → Brand & Contact. In Templates, review the Residential Cleaning and Commercial Cleaning starting points. Customize the welcome message, checklists, terms, FAQ, and agreement for your business.

Have your logo, contact information, service checklist, and business policies handy.

  2. 02

Build a quote for the property

Choose Use template or New proposal. Add the client’s name, email, and service address, then select services and adjust the included tasks. Enter a flat rate, estimate, price range, or included service. Add any deposit terms, proposed date, expiration, and recurring service details.

You set the price. Use your own assessment of the property and work involved.

  3. 03

Preview the client’s experience, then send

Check the proposal as your client will see it. Confirm the scope, price, contact details, and agreement, or save a draft to finish later. When you are ready to send, choose a paid plan and email the proposal from ProposalPad or share its client link.

You can set up your workspace and preview a proposal before choosing a paid plan.

  4. 04

Let your client review and sign

Your client opens the link on their phone or computer and works through the welcome, service checklist, quote, terms, and FAQ. They review the agreement, complete the required acknowledgments, and submit their signature. They do not need a ProposalPad account.

The guided review keeps the scope and price in front of the client before signing.

  5. 05

Keep the record and arrange the clean

Check the proposal’s status in your workspace and access the signed PDF in your archive. Use the agreed details to confirm the job with your client, and handle payment and scheduling through your usual process.

Signing records the agreement; it does not automatically collect a deposit or book a visit.

In your day-to-day

Two ways to put it to work.

These examples show how you can adapt a proposal to the services you offer. You choose the scope, wording, and price.

Residential cleaning

A first deep clean, then regular visits

A homeowner asks for a deep clean followed by biweekly service. Use the residential template to explain the initial work and the ongoing arrangement in the same proposal.

  • Adjust the checklist for the home and list any exclusions.
  • Show the initial clean price and recurring service details.
  • Include access instructions, deposit terms, and your cancellation policy.

Commercial cleaning

A clear scope for an office or facility

A business asks for regular cleaning. Start with the commercial template and make it easy for the decision-maker to review the work, frequency, price, and agreement.

  • Define tasks for offices, restrooms, kitchens, and shared areas.
  • Document the proposed frequency, price, and access details.
  • Keep the signed scope available for future service discussions.

Before you get started

A few common questions.

What is ProposalPad?

ProposalPad is a proposal and agreement tool for cleaning businesses. It brings your branding, scope, checklist, pricing, terms, FAQ, and client signature into one shareable proposal link, with signed records kept in your workspace.

Can I use it for deep cleans, recurring cleans, and move-out jobs?

Yes. Cleaning workspaces start with residential and commercial proposal templates. The residential starting content includes Deep Clean, Recurring Clean, and Moving Clean courtesy checklists. Review and adjust the tasks, price, and service details to match the work you actually offer.

Do my clients need an account or an app?

No. Clients open their proposal link in a browser on a phone or computer, review the details, and sign without creating a ProposalPad account.

Can I use my own wording and policies?

Yes. Customize the welcome message, checklists, terms, FAQ, and agreement for each proposal template. Branding and contact details are shared across your templates. Review the starter text and replace it with the wording that fits your business before sending.

Does it take payments or manage my cleaning schedule?

ProposalPad lets you put deposit terms, proposed dates, and recurring service details in writing. Client signing does not process a payment or automatically schedule a job. Continue using your existing payment and scheduling process.

Can I look around before paying?

Yes. The demo and sample proposal are public. You can also create an account, set up your business, and draft and preview a proposal before selecting a paid plan. An active paid plan is required to send proposals; see the pricing section for current plans and limits.
